
Permitting Coordinator
Introduction:

The Permitting Coordinator plays a critical role in ensuring the smooth processing of construction permits and coordinating key project elements. This position reports directly to the Vice President and is essential to ensuring compliance with regulatory requirements and efficient project management.
Responsibilities:
The Permitting Coordinator will manage the permitting process from start to finish, ensuring that all required documentation is properly submitted and that communication flows smoothly between departments, customers, and external agencies. The core responsibilities include:
- Project Initiation & Data Management:
- Open all new jobs in Buildertrend and properly link the jobs to QuickBooks for accurate financial tracking.
- Work closely with the engineering team to develop construction plans for each project.
- Continuously update daily logs in Buildertrend during the job process to ensure accurate records of each project.
- Permit Processing & Communication:
- Process engineered plans into Buildertrend and maintain consistent communication with customers, providing updates on the permitting process.
- Submit all necessary plans and paperwork to the appropriate building departments to obtain building permits in a timely manner.
- Schedule all inspections for each job through the appropriate building department websites.
- Coordination & Documentation:
- Order specialty doors as needed and coordinate delivery schedules with suppliers and contractors.
- Prepare comprehensive measure folders and permit packages to ensure project readiness.
- Collaboration & Support:
- Back up the receptionist by assisting with scheduling sales appointments as needed.
- Assist other office staff with projects and administrative tasks when necessary.
- Work closely with the Vice President and other key staff members to ensure seamless project management and timely delivery of all tasks.

Qualifications:
- Proficiency with Buildertrend and QuickBooks.
- Strong organizational skills with the ability to handle multiple projects and meet deadlines.
- Ability to effectively communicate with engineering teams, customers, and building departments.
- Familiarity with local building codes and permitting processes is a plus.
- Excellent attention to detail, ensuring accurate documentation and timely submission of permits.
- 3 years’ previous experience in a similar role within the construction or permitting industry is preferred.
Skills / Knowledge:
- Strong proficiency with Microsoft Office, Buildertrend, and QuickBooks.
- Ability to read, analyze, and interpret construction plans and related documentation.
- Ability to respond to inquiries and concerns from customers and regulatory agencies.
- Ability to effectively present information to internal teams and management.
- Strong problem-solving skills with the ability to manage priorities and deadlines.
Performance Expectations:
Success in this role will be measured by the ability to:
- Accurately process and submit permit applications in a timely manner.
- Maintain strong communication with customers and internal teams.
- Ensure all specialty orders, permits, and inspections are coordinated efficiently.
Physical Requirements:
- Required to sit, stand, walk, hear, speak, read, write, and type.
Working Conditions:
- The work environment is normally climate-controlled, with the noise level usually moderate.
Flexibility in work schedules may be required due to changing business demands.
Job Type: Full-time
Pay: $40,000.00 - $45,000.00 per year
